FiscAlert — User Manual

FiscAlert watches your ANAF Spațiul Privat Virtual (SPV) inbox and e-Factura, then explains every document in plain language — in your own language — so nothing important slips past a deadline. This manual covers everything from first sign-in to troubleshooting.

1. What FiscAlert does

FiscAlert connects to your official ANAF accounts and turns dense Romanian fiscal documents into short, actionable summaries and faithful translations. It is built for sole traders (PFA), small companies (SRL), and especially for foreign owners who don’t read Romanian fiscal jargon.

The three things it does for you:

Monitors your SPV inbox — every notification, decision, receipt, or summons ANAF posts is pulled in automatically.
Summarises and translates — an AI summary tells you what each document is, whether you need to act, and the key numbers and deadlines, in any of 7 languages.
Surfaces what needs action — documents are tagged Pay / Reply / For info so you can triage at a glance, with deadlines on your dashboard.

FiscAlert reads and explains your documents. It does not file returns or pay taxes on your behalf — you always act through the official ANAF portal.

2. Creating your account & signing in

Go to fiscalert.ro and choose Sign up.
Enter your email and a password. We’ll send a verification link — click it to confirm your address.
Pick your language at any time from the globe menu in the top-right. Everything (including AI summaries) follows that choice.
Choose a plan and start your free trial (see Plans & billing).

You sign in with your email and password. If you forget it, use Forgot password on the login page to reset it by email.

Optionally, you can attach a qualified ANAF-compatible digital identity (for example certSIGN or DigiSign) to your account from Settings — this is what enables e-Factura. The email/password login plus FiscAlert Connect already gives you the full SPV experience without it.

3. Installing FiscAlert Connect (the bridge)

Connect 0.1.17 and later checks SPV about 30 seconds after starting, then every 4 hours while running. Keep the computer on and the certificate available. Check ANAF now runs an immediate check; your email alert frequency stays the same.

ANAF SPV requires a qualified certificate available in Windows. FiscAlert Connect is a secure Windows companion app that uses your physical USB token or compatible virtual certificate to check SPV on your behalf and sends only the resulting documents to your FiscAlert account. Your PIN is never sent to FiscAlert.

Install it

Open the Inbox (SPV) page and click Download for Windows.
Double-click the downloaded FiscAlertConnect-Setup.exe. It installs for the current user only and does not require administrator access.
It starts automatically and adds itself to Windows startup, so it’s always running quietly in the background (you’ll see a small tray icon).

Windows SmartScreen: the installer is code-signed and shows the publisher as Wouter Mertens. Because the app is still new, Windows may still show a blue “Windows protected your PC” screen the first time you run it — click More info → Run anyway to continue. This prompt goes away on its own as more people install the app.

Pair it with your account

Pairing links the app on your PC to your FiscAlert account. It usually happens automatically: when you open the SPV page, your browser detects FiscAlert Connect and pairs in one click. Your browser may ask to “access devices on your local network” — click Allow (that’s the page finding the app on your PC).

If the automatic prompt was blocked, use Pair manually instead on the SPV page and enter the pairing code it shows.

One active computer per account: you may install Connect on several computers, but only one can be paired for automatic ANAF checks at a time. Stop Connect on the previous computer before switching. Opening FiscAlert on another computer while Connect is running there can transfer the pairing and disconnect the first computer. Already synchronized documents remain available from any computer.

Your token PIN

Save your token PIN under Settings → Connect to reduce prompts during background checks. Windows encrypts it in Credential Manager under your user profile; it is never sent to FiscAlert. Some providers still require their own approval, and repeated incorrect PINs can lock a token.

Supported certificates and connection status

Physical tokens — SafeNet, Aladdin, Athena, and Gemalto Windows token providers are supported. Keep the token connected and install the official certSIGN driver.
certSIGN paperLESS vTOKEN — install and sign in to its Windows app so the certificate becomes available to Windows. certSIGN may still require phone or Authenticator approval; FiscAlert cannot bypass that security step.
Settings → Connect — review the connection overview, last and next check, certificate or PIN guidance, and use Check ANAF now for an immediate check.

4. Your SPV inbox

The Inbox (SPV) page lists everything ANAF has posted. Each row shows when it arrived, the document type, the subject, an action tag, and which of your companies it belongs to.

Entity selector — if you manage more than one company, pick which one’s documents to view. Your choice is remembered as you move around.
Date filters — Today / This week / This month / Last month, or a custom range.
Action tags — Pay (money owed, hard deadline), Reply (review and respond), or For info (a confirmation, nothing to do). A banner highlights anything that needs attention.
PDF — download the original document from any row.

Click any document to open its detail page with the AI summary, the original Romanian text, and the translation.

ANAF returns the same shared inbox for every company linked to one token. FiscAlert reads each message’s official CIF and files it under the correct company automatically.

5. AI summaries & translations

Open any document to get an AI summary structured into four parts:

What is this? — the document type, who sent it, and who it’s addressed to.
What is it about? — what’s being notified or required, with the tax period and legal basis.
Do you need to do something? — a clear YES/NO, the action required, and the exact deadline.
Key facts — every amount, date, IBAN, and reference number, exactly as written.

Below the summary you’ll find the original Romanian text and a faithful translation in your chosen language. Use the language selector at the top of the page to switch the summary and translation into any of the 7 supported languages.

Both the summary and the translation can be downloaded as a branded PDF using the buttons at the top of the document.

AI summaries and translations are an aid to understanding, not legal or tax advice. Always check critical figures and deadlines against the original document, and consult your accountant for anything you act on.

6. e-Factura

The e-Factura page shows the electronic invoices in your ANAF e-Factura account. This feature uses your attached qualified ANAF-compatible digital identity, so connect it from Settings first.

Browse received invoices by company and date range.
Open an invoice to see a parsed breakdown — supplier, customer, line items, VAT, and totals.
Download the original invoice as XML or as a rendered PDF.

7. Companies & entities

Add the companies (CUI) and personal tax IDs (CNP) you want FiscAlert to monitor under Settings → Companies (or during onboarding).

How many you can add depends on your plan:

Solo — 1 company (CUI) + 1 personal ID (CNP).
Multi — up to 5 companies (CUI) + 1 personal ID (CNP).

You can only monitor entities for which your qualified certificate has rights in SPV — the certificate is what authorises access at ANAF.

8. Plans & billing

FiscAlert offers two plans plus an optional alerts add-on. Current prices are shown on the pricing page (billed in RON).

Solo — for one business or sole trader.
Multi — for up to 5 companies, with multi-company filtering.
Daily alerts add-on — email alerts so you hear about new documents without opening the app.

Every plan starts with a free trial. A payment card is required up front, but you’re only charged when the trial ends, and you can cancel any time before then.

Manage your subscription, update your card, and download invoices from Settings → Billing, which opens the secure Stripe customer portal.

9. Email alerts

With the alerts add-on, FiscAlert emails you when new documents arrive, so you don’t have to keep the app open. Configure them under Settings → Alerts:

Frequency — a daily digest each morning, or a weekly one on a day you choose.
Attach PDFs — include each new document’s PDF in the email.
Separate email per company — one email per company instead of a single combined one.
Delivery address — send alerts somewhere other than your account email.

The first emails from FiscAlert often land in your spam/junk folder. If you don’t see a test email after a minute, check there and mark it “Not spam” so future alerts reach your inbox.

10. Security & privacy

Your USB token stays local. Certificate handshakes happen only on your PC via FiscAlert Connect; your token and PIN never reach our servers.
Encrypted at rest. Sensitive data such as CNPs and cached document PDFs are encrypted in our database with per-record keys.
Authenticated bridge link. FiscAlert Connect signs every message to the cloud with a secret negotiated at pairing time, so nothing else can impersonate it.
AI document requests. When you ask for an AI translation, summary, or document answer, the requested complete PDF is sent to the OpenAI API and may include CNP or other personal data. See the Privacy Policy before using these features.
Your data is yours. Export your account data as JSON or request account deletion from Settings. Some minimal records may be retained for the periods and purposes stated in the Privacy Policy.

11. Troubleshooting & FAQ

The SPV page says “FiscAlert Connect not installed” but it is running

Make sure only one copy is running, and that it shows as paired. Open http://127.0.0.1:52474/hello in a new tab — you should see a small status with "paired":true.
If your browser asked to “access devices on your local network” and you dismissed it, reload the page and click Allow.
Check your antivirus/firewall hasn’t blocked FiscAlert Connect’s local connection — if it has, allow it through.

A summary or translation didn’t generate

Click Retry. Most failures are transient.
If it says the document couldn’t be retrieved, make sure FiscAlert Connect is running, then retry.

A document shows under the wrong company

Install the latest FiscAlert Connect release from the official download page and open the /hello page above to verify the running version. Current releases file each document by its official CIF.

Optional Remote Desktop compatibility service

The normal installation does not install a Windows service and needs no administrator access. Only when FiscAlert support instructs you, run "%LOCALAPPDATA%\FiscAlertConnect\FiscAlertConnect.exe" --install-token-service from Command Prompt after pairing Connect and saving the PIN. Windows will request administrator approval for this optional RDP-safe service.

Windows blocked the installer

That’s Windows SmartScreen being cautious with a newly released app. The installer is code-signed (publisher: Wouter Mertens); click More info → Run anyway to continue. The prompt disappears as the app builds reputation.
